GREEN SAPA TOURS - GENERAL TERMS & CONDITIONS

Please read these Terms and Conditions carefully. By booking a trip with Green Sapa Tours ("the Company," "we," "us"), you ("the Client," "you") agree to be bound by these Terms and Conditions, which outline our respective rights and obligations.

1. BOOKING, PAYMENT, AND ACCEPTANCE

1.1 Booking Confirmation

A booking is confirmed only upon our written confirmation (via email) and receipt of a non-refundable deposit as specified in your personalized tour itinerary (typically 30% of the total tour price).

1.2 Final Payment

The remaining balance (70%) is due 45 days prior to the scheduled departure date. If the final payment is not received by the deadline, Green Sapa Tours reserves the right to treat the booking as cancelled by the Client, and cancellation charges will apply (see Section 3).

1.3 Pricing

Prices are quoted in US Dollars (USD) or Vietnam Dong (VND) and are subject to change without prior notice until the deposit is received. The price of your confirmed tour is fully guaranteed and will not be subject to any surcharges, except in the event of major government-imposed tax increases or extreme currency fluctuations.

2. CLIENT CANCELLATION AND REFUNDS

All cancellations must be made in writing and acknowledged by Green Sapa Tours. Cancellation fees are calculated based on the date we receive the written cancellation:

Note: The cancellation fees above reflect the cost and effort of itinerary preparation, booking confirmations, and non-refundable third-party supplier fees (flights, local permits, accommodations). No refunds will be given for services unused after the tour has commenced.

3. CANCELLATION OR MODIFICATION BY GREEN SAPA TOURS

3.1 Force Majeure

Green Sapa Tours reserves the right to cancel or reschedule any tour due to Force Majeure (including but not limited to adverse weather conditions, natural disasters, political instability, epidemics, or safety concerns). In such cases:

• We will offer an alternative tour date or itinerary modification.

• If the alternative is unacceptable, we will issue a credit for future travel, valid for 18 months.

• We are not responsible for any incidental expenses you may incur, such as non-refundable air tickets or visas.

3.2 Safety and Tour Changes

We reserve the right to modify the itinerary (routes, timing, accommodation) without prior notice if, in the sole opinion of the guide, the safety or comfort of the group requires it. No refund will be issued if the itinerary is changed due to circumstances beyond our control.

4. CLIENT RESPONSIBILITIES AND LIABILITY

4.1 Health and Fitness

By booking an adventure, cycling, or trekking tour, you confirm that you are in good health and physical condition adequate for the demands of the selected tour. Clients are required to inform us of any medical conditions, disabilities, or dietary restrictions at the time of booking.

4.2 Mandatory Travel Insurance

Travel insurance is mandatory for all Green Sapa Tours adventure trips. Your policy must cover:

1. Medical expenses and hospitalization.

2. Emergency evacuation and repatriation.

3. Cancellation and curtailment of the tour. You must provide proof of valid travel insurance before departure. Failure to do so may result in refusal of boarding the tour without refund.

4.3 Authority on Tour

The decision of the Company's guide or representative shall be final on all matters likely to endanger the safety or well-being of the tour group. Clients must at all times comply with the laws, customs, and regulations of Vietnam.

5. LIABILITY LIMITATION

Green Sapa Tours, its agents, and suppliers shall not be held liable for any loss, damage, injury, delay, or irregularity which may be sustained by reason of any defect in any vehicle, or through the acts of any company or person engaged in conveying the Client or in carrying out the arrangements of the tour.

The Client acknowledges and accepts that adventure activities like cycling and trekking inherently involve elements of risk and danger greater than those encountered on a conventional tour. The Client undertakes the tour entirely at their own risk, and Green Sapa Tours assumes no responsibility for any accidents or incidents.

6. GOVERNING LAW

These Terms and Conditions are governed by the laws of Vietnam, and any disputes shall be resolved exclusively in the courts of Vietnam.

By booking and paying the deposit, the Client acknowledges that they have read, understood, and agreed to all of the above terms and conditions.
